At SS Systems Limited we have a dedicated maintenance department with hundreds of clients across the UK.

When choosing a company to manage the maintenance of your fire and security systems, it’s important to understand how that company takes care of your contract. That way, you can make an informed choice about who to choose – after all, you are relying on that company to take responsibility for your fire and security systems.

So how do SS Systems manage your fire alarm maintenance contract?

Our Team

We have a dedicated maintenance department, consisting of our customer facing service administrator, Amanda Sampson, our engineering manager Dan Parkin and a team of engineers.

Our Systems

We keep all our records on a computerised system tailored especially for the fire and security industry. When you ask us to maintain your system, the details of your system are entered into that system. The due dates of your maintenances are also recorded.

We work one month in advance. At the beginning of each month, the system tells us which systems should be maintained during the following month (for example, in April we look at the systems to be maintained during May).
Amanda then goes through that list and makes the scheduled appointments for that month.

These appointments are entered into our scheduling system. They are sent a call request which outlines what is expected of them for that particular appointment.

Once the engineers have completed the maintenance they upload their records into our computerised system. Amanda then reviews the work they’ve done and raises any additional jobs or paperwork as required.

We have internal KPIs that we measure each month to ensure that our clients are receiving the best level of service. In addition to that, though, we are actually monitored externally to ensure that we meet our client obligations.

External Monitoring

As members of the SSAIB (Security Systems and Alarms Inspection Board) we are expected to maintain maintenance records and monitor our success. The Security Systems and Alarms Inspection Board (SSAIB) is a leading certification body for organisations providing security systems and services, fire detection and alarm systems, telecare systems and services, manned security services and monitoring services.

Our success is measured in terms of the actual visits we made compared to the scheduled visits. A success rate of 90% is the target.

The SSAIB also come in to audit our records once every year, spending usually one to two days with us on site and also view installs at our clients’ premises. During that audit we are expected to share our records with them. They go through our computerised system and score us against their own criteria.

If we are found to be lacking in a particular area, they give us a report and we have 28 days in which to address the issue and respond back to them to tell them how we’ve corrected it.

Over the last 12 months we actually attained 92% success – a KPI that we’re extremely proud about.
